You’ve just got married and the wedding ceremony was a great success. You want to write ‘thank you’ cards to express your appreciation for those who came to your wedding. Or you’ve just hosted a big awards show and you have been informed that your company needs to send thank you notes to the awardees and their families. What do you write?

It’s not such a head-scratcher. Whatever the occasion you are thanking people for, write from the heart and do not gush. People are quick to spot insincerity so only write what you really mean. Also, be sure to thank only those people who turned up – it is awkward to receive a ‘Thank you for gracing the occasion’ card when you didn’t even attend the ceremony, or worse, when you weren’t even invited!

What’s the occasion? Whether a birthday party, a wedding, an office party or a business conference, you will have to word your card based on the occasion. Birthday parties and weddings are easy – you simply have to thank people for honouring your invitation and attending the do. Work-related occasions will require slightly formal language, since you will be writing to colleagues and business associates.

Customize the card: The recipient will be happy to note that you have written a personal note instead of merely adding his or her name in the blank space of a printed card. Write a brief thank you card in your own handwriting, using a fountain pen or gel-based ink. Ball point ink is tacky, so you should avoid writing or signing off using a ball point pen.

Keep it simple but heartfelt: If you are thanking the delegates of a recent conference you hosted, you will also be sending a small memento to express your appreciation. Most people simply send the memento and do not include a thank you card. Don’t skimp on sending a card – briefly thank the person for attending the seminar and making it a success, and express a hope that he or she will attend future events hosted by your company as well. Include your business details at the back of the card.

Thanking State leaders and business tycoons: If you are hosting a party in honour of a State leader or if the chief guest at your company seminar is a prominent business personality, you will have to write two thank you notes. The first one must reach the person’s office before the event, once he or she has confirmed their presence at your event. The note must briefly thank them for accepting your invitation and enclose details of the event location and time. Once the event is over, you must send a second thank you note to their office, expressing your appreciation for their presence that elevated the profile of your event.
